Your estimate

Total technician hours for the rush...
Changeovers your team can do per day...
Weeks to clear the list at current staffing...
Technicians needed to finish in your window...

Estimates only. Assumptions are listed below, and you can change every input.

Every stored tire set is a promise: when the weather turns, that customer will call and expect an appointment within days. If you store 300 sets and have two techs, the fall rush is not a surprise, it is arithmetic. The shops that survive it cleanly know before the first cold snap how many changeover appointments they can run in a day and how many weeks it will take to get through the whole list.

The calculator turns your stored set count into total technician hours using your minutes per changeover, works out how many swaps your current team can complete per day from the productive hours you enter, and then shows how many weeks the rush takes at that pace. Finally it asks how many weeks you want the rush to last and rounds up to the number of technicians that would be needed to hit that window. It assumes customers book evenly through the window, which they never quite do, so treat the result as a floor, not a plan.

How to use this tool

  1. Enter the number of stored sets that will need a swap and your honest bay time per changeover, including retrieving and re-racking the stored set.
  2. Enter the techs you can dedicate, their productive hours per day and the days per week your bays run changeovers.
  3. Set the number of weeks you want the rush to take and read how many techs that needs; then adjust hours, days or the window until the plan is one you can actually staff.

What the math assumes

  • Every stored set needs exactly one changeover appointment during the rush, and no appointments are no-shows or reschedules.
  • Total hours are sets times minutes per swap divided by 60, with no setup time between cars beyond what you include in the minutes.
  • Productive hours per tech exclude breaks, walk-ins and other repair work unless you have already lowered the number to account for them.
  • Customers are assumed to book evenly across the window; in reality demand clusters around the first cold snap or warm spell, so the early weeks run hotter.
  • Technicians needed is rounded up to the next whole person, because you cannot hire a third of a tech.

Frequently asked questions

Why does the calculator use productive hours instead of a full shift?

Because an eight hour shift never delivers eight hours of wrench time. Breaks, waiting on a lift, an oil change that walks in and a customer who is late all eat into it, and planning on the full shift is how a four week rush becomes seven.

What should minutes per changeover include?

Everything from the moment a tech starts walking to the rack to the moment the bay is free again: finding and pulling the stored set, the swap, torque, TPMS reset, bagging and re-racking the removed set and updating the record. If finding the set takes ten minutes, that belongs in the number.

How can I shorten the rush without hiring?

The levers in the calculator are minutes per swap, hours per day and days per week. A clear rack labeling system and having the stored set staged before the customer arrives usually cut more minutes than anything else, and a Saturday during peak weeks adds a full day of capacity.
